    HR & Admin Assistant

    Job Description

    Main Accountabilities:

    HR

    1. Coordinate interview arrangement with candidates, hiring/staffing manager and other interviewers.
    2. Support data input and maintenance of job posting, talent pool, etc.;
    3. Help to prepare the documents and support the procedures of employee on boarding and resignation;
    4. Work as HR representative to deal with Hukou, residence, visa, permits, etc. for the employees;
    5. Support payroll operations including attendance check and taxation;
    6. Provide administrative support for trainings in terms of registration, scheduling, reimbursement as well as the generation of training handouts, certificates, evaluation forms and training documents filing etc.;
    7. Manage physical employee profiles and electronic data in HR system;
    8. Help to generate HR report, e.g. org. chart, expenses, turnover, training hours.

    Admin.

    1. Manage expat issues, invitation letter preparation, work & residence permit application, housing rental, vehicle arrangement etc.;
    2. Travel management;
    3. Maintenance of Inkube building;
    4. Support to coordinate activities, such as annual party etc.;
    5. Support to maintain various committees, such as meal committee/ badminton club;
    6. Manage administrative related suppliers, including canteens, shuttle bus, hotels, cleaning, indoor green plants, express delivery services etc.;
    7. Expense statement check and pay out. Cost control of administration;
    8. Management of group mobile number;
    9. Perform other administrative tasks as required.

    Qualification:

    1. Education: Minimum with College Degree
    2. Working experience: within 3 years
    3. Skills:
    – Strong sense of responsibility, results-oriented and attentive to details
    – Proficient computer skills with sound knowledge of Excel, Word, PowerPoint etc
    – Ability to multi-task, prioritize, and meet timelines on deliverables
    – Good communication skills.
    – Good team player
    – Sense of confidentiality
    – Quick learner
    – Good English language skill, both oral and written
