Main job purpose
The UniOps Global Portfolio Management Office (GPMO) team provides the capability and the framework for the IT/Technology Investment Portfolio Management and Project Governance processes. Our objective is to ensures consistency and to enable effective governance and valuable project investment decisions in Unilever.
The GPMO Portfolio Assistant Manager is supporting the GPMO Portfolio Manager for effective Portfolio Management of Technology investment via active partnering and facilitating the process with Project Managers. He/she is responsible to ensure that project governance process and controls are understood by the Project Managers and is followed with discipline.
Key Accountabilities
Responsible for Effective Portfolio Management
- Governance, Innovation Funnel Process, PMO Inputs and Outputs
- Primary point of contact for all clarity related matters within his/her funnel(s)
- Progressing the project through the funnel phases by following up on all the necessary steps in Clarity workflows in a timely and appropriate manner. (i.e. Completing GPMO actions, following up with Clarity users to complete their steps)
Responsible for Portfolio Information Quality
- Follow up with Clarity users and ensure that all the required fields in Clarity are updated and workflows are actioned on a timely basis
- Review BOSCARDs and Milestones to validate. And ensure that quality of information is in-line with Good practice guidelines
- Support quality of Portfolio information in the Innovation Funnel process through the “GPMO Quality Control Checks” in Clarity and verify that the projects have completed/recorded all the required steps/information (such as project documentation) before proceeding to the next workflow step/phase
Partner with Clarity Managers to Facilitate the Process
- Track Gate Keeping and Project Approvals in Governance meetings, record supporting evidences to Clarity and convert forecast to Project/Program Budgets in Clarity
- Provide updates on Projects/Programmes reaching to ‘Overdue’ status and corrective actions required to concerned PMs
- Follow up with Clarity Users to meet monthly reporting timelines on;
- Status Reporting including Project status, risks and issues
- Roadmaps & deliverables Status updates
Promote and Support Governance
- Promote PowerBI dashboards and capabilities (project or FBP perspective) with Clarity Users (monthly and individual calls).
- Review One-Pagers for gate keeping and assess for completeness
- Support the Portfolio Manager with preparation of Presentation material for Governance meetings (such as using existing reports to take screenshots for presentations, generating BOSCARDs/Project Status reports from clarity etc…)
Support GPMO Capability Development
- Communicate/promote GPMO initiatives within the Portfolio and champion active adoption and usage
- Review and test PPMO changes prior to launch were applicable
- Active Participation in the various team meetings and town halls
