We are looking for Document Manager
As a Documentation Manager you will be responsible for setting up and managing project-specific infrastructure related to Document management, following Siemens standards and guidelines. In this role, you will organize and ensure contractually compliant management of product documentation for Metro projects, adhering to Siemens documentation standards. Your responsibilities will include monitoring contractually relevant documents (List of Deliverables – LoD) and facilitating the document submission process to the customer interface. Additionally, you’ll collaborate with various departments to accurately capture and document all relevant information, while also training and supporting other team members in proper documentation practices.
You’ll make a difference by
- Establishment and maintenance of the project environment in the EDM system (responsibility, folder structure, roles and rights, storage/classification criteria) in cooperation with the manager responsible for the project and other interface partners.
- Creation of the specific document management plan (DM plan with description of the scope, structure/outline, layout of the customer documentation).
- Verification of compliance with the activities described in the DM plan
- Coordination and maintenance of the contractual relevant document list (LoD – list of deliverables) with all relevant stakeholder.
- Support in the control of the timely document creation in cooperation with the scheduler, incl.
- Initiation of countermeasures in the event of deviations from the plan status
- Submission of the contractually agreed customer documents (submittals) to external parties (e.B. customer, consultant, supplier) or to an intermediary local office. This also includes all correspondence on documents from these interfaces.
- Tracking of correspondence solely for the purposes of customer document planning.
- Deadline tracking of necessary responses (comments, customer approvals) to submitted customer documents.
Desired Skills:
- Bachelor’s degree in a relevant field.
- Minimum of 5-8 years of experience in Document Management.
- Knowledge of Document Management processes and tools (EDM).
- Detail-oriented with a high level of accuracy.
- Ability to work effectively in a team environment.
